Tunstall Music Department
​Booster Club Mission

The mission of the Tunstall Music Department Booster Club is to support, promote, and enhance the musical education and experiences of all students within the Tunstall Music Department. We strive to foster a spirit of unity, pride, and excellence by providing financial assistance, volunteer service, and community engagement opportunities. Through our dedication, we aim to empower students to achieve their highest potential in music and personal growth while strengthening the bond between school, family, and community.

Vision Statement

The vision of the Tunstall Music Department and its Booster Club is to cultivate a thriving community where music education, student achievement, and family involvement work hand in hand. We strive to inspire excellence, creativity, and lifelong appreciation for the arts by providing unwavering support, encouragement, and opportunity to every student. Together, we aim to build a program that not only develops exceptional musicians but also confident, compassionate individuals who lead with integrity, pride, and purpose—reflecting the harmony between school, family, and community.

THINGS PARENTS CAN DO TO GET INVOLVE

All the following committees are looking for people to help. Each has a chairperson selected by the Tunstall Music Booster Executive Board. All parents/guardians are encouraged to sign up for membership on one or more of these committees. The first opportunity to do so will be at the “Meet the Band” concert and hotdog dinner after band camp or any booster meeting.

Booster CommitteeS

Pit Crew Committee
The Ensemble pit crew is a group of parents that assists the traveling ensembles. Pit crew members sign up (usually with the booster president and director) to work various football games helping to move equipment (tubas, drums, directors' podiums, speakers, props, pit instruments, etc.) and helping the color guard with their equipment. This group will also oversee the minor care and repairs of the band instruments and large equipment. This group is perfect for the “handymen or women” in our organization!!  Pit crew transports equipment by truck or van to away games, and special band events, such as competitions.

Chaperones
Trip chaperones are an integral part of each performance. Chaperones perform a multitude of tasks, from assisting members preparing for a performance, riding band busses to away events, guarding instruments during half time and 3rd quarter, to being a “parent/guardian” when needed. Chaperones provide a needed service to the band and are considered a valuable asset to our program.

Culinary Committee
This committee oversees the food provided to the students for long rehearsals and band trips. This committee is to meet regularly and recruit parent volunteers for meals and step in when one is not provided. This committee also finds volunteers for the Vanguard Concessions during the Fall Season

Uniform Committee
This committee is responsible for managing the uniforms of all ensembles. Key duties include issuing and fitting uniforms for students, assisting with necessary alterations, and ensuring general care and maintenance of the uniforms. The committee also helps students with any uniform-related issues.

Fundraising Committee
The fundraising committee is essential in supporting our band by generating the funds needed to achieve our goals. Responsibilities include developing fundraising strategies, organizing events, recruiting volunteers, and promoting activities through various channels. The committee manages finances, ensures compliance with regulations, and reports progress to the executive board. Additionally, they continuously seek innovative ideas and evaluate past efforts to improve future initiatives. Recognizing and appreciating donors and volunteers is also key to maintaining strong community support. Through their efforts, the fundraising committee ensures our band has the necessary resources to thrive. This committee solicits sponsors who purchase advertisements in the program given out at all concerts. The program also contains information about the band and is of great interest to those attending the concerts. The lead for this committee is the Treasurer and V.P.

Tunstall Music Department Booster Club Executive Board Duties

The Tunstall Music Department Booster Club Executive Board is responsible for overseeing and supporting all music ensembles, with the exception of the choral program. Each ensemble is treated equally, with no one group considered more important than another. The Executive Board is also tasked with planning, coordinating, and facilitating fundraising initiatives throughout the year to generate revenue for the band.

In the event that an auxiliary ensemble (e.g., Percussion Ensemble, Winter Guard,  etc.) does not have a child of a Booster Club Executive Board member involved, one Executive Board member must attend any overnight trips for that ensemble. Additionally, the Executive Board member must hold a chair position within the respective ensemble.

Executive Board Positions

President
  • Preside over all meetings of the Booster Club and Executive Board sessions.
  • Serve as the primary liaison between the Booster Club and the Tunstall Music Department staff.
  • Ensure the efficient functioning of all committees, providing necessary support and oversight.
  • Approve and supervise fundraising activities and events.
  • Call special meetings when necessary.
  • Provide leadership and vision for the organization’s overall direction.


Vice President
  • Assist the President in fulfilling all duties and assume those responsibilities in the President’s absence.
  • Oversee and coordinate the activities of all standing and special committees.
  • Maintain consistent communication with committee chairs to ensure they are supported in their duties.
  • Serve as an additional liaison between the Booster Club and school staff.


Treasurer
  • Maintain accurate and detailed financial records for the Booster Club.
  • Oversee the receipt, deposit, and disbursement of all funds belonging to the Booster Club.
  • Prepare and present financial reports during regular meetings.
  • Develop and manage the annual budget in collaboration with the Executive Board.
  • Ensure full compliance with all tax and legal requirements.


Secretary
  • Record and distribute minutes for all Booster Club meetings.
  • Maintain a record of attendance at all meetings.
  • Handle official correspondence on behalf of the Booster Club.
  • Maintain an up-to-date roster of all members, including contact information.
  • Assist with maintaining organizational documents and files.



Chair Positions 

Concession Stand Chair
  • Organize and oversee all operations of the concession stand for games and events.
  • Manage inventory, purchasing, and volunteer scheduling.
  • Ensure compliance with food handling and safety regulations.
  • Work with the Treasurer to track finances and process reimbursements.


Assessment Bands/Marching Band Chair- In the event of a vacancy or lack of representation on the Executive Board
  • Coordinate volunteers, meals, and logistical needs for the marching band season.
  • Assist in planning and organizing band camps, clinics, master classes, competitions, and performances.
  • Collaborate with the Band Director and Director of Percussion Activities, Assistant Directors, and other committee chairs to meet program requirements.


TCE Percussion Ensemble Chair-In the event of a vacancy or lack of representation on the Executive Board
  • Coordinate logistics for percussion ensemble rehearsals, events, and travel.
  • Assist with the transportation of equipment as necessary.
  • Assist in planning and organizing band camps, clinics, master classes, competitions, and performances.
  • Collaborate with the Band Director and Director of Percussion Activities and other committee chairs to meet program requirements.


Color/Winter Guard Chair- In the event of a vacancy or lack of representation on the Executive Board
  • Provide support for all Color Guard and Winter Guard activities.
  • Assist with the coordination of uniforms, equipment, transportation, and chaperones.
  • Organize volunteer schedules for competitions and performances.
  • Collaborate with the Band Director and Director of Ensemble and other committee chairs to meet program requirements.


Trailer Manager- In the event of a vacancy or lack of representation on the Executive Board
  • Oversee the maintenance of the Tunstall Music Department’s equipment trailer, ensuring it remains safe, functional, and compliant with relevant regulations.
  • Conduct regular inspections of the trailer, including tires, lighting, hitch, and structural integrity.
  • Schedule and manage necessary maintenance and repairs, either personally or through professional services.
  • Maintain detailed records of inspections, repairs, and maintenance.
  • Ensure that trailer registration, insurance, and other documentation are current.
  • Coordinate with the Band Director and Booster Club to assign qualified trailer drivers for all events, rehearsals, and trips requiring equipment transportation.
  • Provide the Executive Board with timely updates regarding the trailer’s condition and any related budgetary need


​ Hospitality Chair
A. Position Purpose
The Hospitality Chair shall be responsible for planning, coordinating, and managing all food and hospitality services for the marching band and concert/symphonic band programs.

B. Duties and Responsibilities
  1. Coordinate and oversee meals, snacks, and refreshments for band camps, rehearsals, performances, competitions, assessments, and special events.
  2. Organize volunteer staffing for hospitality needs, including food preparation, serving, and clean-up.
  3. Work with school administration and the Executive Board to ensure compliance with school nutrition and safety guidelines.
  4. Coordinate donations and/or vendor partnerships to support hospitality functions.
  5. Maintain inventory of hospitality supplies and submit budget requests as needed.
  6. Provide a hospitality budget plan and expenses to the Treasurer and Executive Board.
Report activities and needs to the Treasurer and Executive Board as requested.
